First steps

From the perspective of the organizer

Login to the server
Log in to your server in the meeting management interface. The registration takes place by entering your username and password.

Create a new meeting
Create a meeting in the meeting management interface. Enter event information, such as the event name, date, and location.

Plan interactions
Once you have created a meeting, you can add interactions to your meeting. To do this, open the meeting cockpit in the meeting management interface. The individual interactions can be combined into interaction sequences similar to a slide presentation. Interactions include message tools, free-text tools, and voting tools. The results of a tool can be picked up and used in any subsequent tool.

Start meeting
As soon as you activate one of the interactions you have created in the meeting cockpit, it will be displayed on the participants devices as soon as they open the participant view.

How to participate in a meeeting

Join the meeting
To attend a meeting, attendees open the web address of the meeting in the browser of their device to interact with the moderator. Optionally, the use of teambits app for iOS and Android is possible.

To get to the meeting address, the participants can either scan a QR code or they will get the address as a link from the organizer.

If participants have installed the application interactivate.me, participation in the meeting is very easy: the app will then enter the event ID, which the organizer will inform the participant about.
Password and PIN request
Optionally, you can protect participation in a meeting with a password. Alternatively or additionally, a personal identification number (PIN) can also be requested. In these cases, the participant will first be shown the password or PIN request as soon as they want to participate for the first time via web interface or app. The participant then logs in with his password or PIN, which he received with his invitation or at the entrance to the event. The PIN query enables personalization of content and interactions.
Release of personal data
In events with event-public participant list, the participant can be given the opportunity to edit his data presented in the participant list and to decide on its visibility in the event public lists. The participant decides, for example, whether he can be addressed via the participant list via chat function. The request to release personal data can be switched as an initial interaction, but can also be retrieved and changed by the participant at any time via the menu.

With the help of public questions/Q&A it is possible to get questions from the participants. This can be activated either for all or only for selected participants. Learn more about practical examples and procedures.

Answering questions
These are first sent to the director. The director can then send one or more questions to the moderator’s tablet. Optionally, it is possible to send public questions directly to the moderator. This is especially useful for very small groups.

The moderator can decide on his tablet which questions he would like to present directly. In addition, the moderator can mark for the director, which contributions he has edited or does not want to edit, so the director can lock these posts and clean up the moderator tablet.

Free text question and worksheets

The opportunity to ask participants open questions is indispensable, for example, during a brainstorming session.
It is possible to combine several free text questions in terms of a worksheet or questionnaire. Such a questionnaire can then be used, for example, in working groups.

Voting results

Participants’ submissions can be displayed as a rolling list, as moderation cards, as a Word cloud, or as a cluster. It is possible to use the free-text question function to assist the moderator with individual audience questions. See also Q&A

Word cloud and other results representations

In the ideas and contributions of participants presented as WordCloud, multiple answers are displayed proportionally larger. Other representations in the form of maps, lists or clusters are possible. The Word Cloud can be used if you do not know what the participants are voting for and you want to emphasize the most important keywords.

Create questions and choices
To create a Word Cloud, simply enter a question and define the maximum number of posts per subscriber. Multiple words separated by a space count as one post. You then have the option of activating a filter at any time, which generates the WordCloud only from the nouns, verbs and adjectives contained in the participant’s contribution. You can specify which color or orientation the Word Cloud should have, whether individual or entire posts should be displayed and define a blacklist of words.

In order to add contributions to a Word Cloud, the participant enters his contribution in the text field and sends it off. Number of contributions per participant may be limited by the direction.

Clusters

If you’re brainstorming or gathering feedback in larger groups, it may be helpful to group similar posts under a headline.
This can be done by the moderator on stage, in the background by the director or by the participants.

Weighing

One or more weighting criteria allows material to be sorted according to its relevance.
This interaction type is useful if you need a review of your question.

Create questions and choices
To create a weighting question, just enter a question.
As answer possibilities own texts can be created or contributions from previous free text or cloze text tools can be taken over.

This interaction type makes sense if the answer options are already known.

Scales question

In numerical voting, participants can answer questions based on a scale. This interaction type is useful if you need a review of your question. Possible are ordinal and Likert scales.
Optionally it is possible to combine several scale questions in one query.

To create a numeric vote, simply enter a question and select the scale type. It is possible to name the scale values individually.
Slides or sliders as well as buttons below or next to each other are available to display the question.

Typology of participants

This feature is used, for example, to group the participants according to typological characteristics. These can be known to the participants through the preparation or raised in the course of the moderation. On the basis of the typological characteristics of the participants, for example, the categorical evaluation and visualization of results is possible.

In a quiz, participants can collect points by answering questions. Points can be awarded based on speed of response and accuracy.

Photo protocol

Foto-Protokoll App
Participants can take photos with their devices and upload them to a common photo protocol. The realization of In-App photo galleries is possible.

Directed functions

Interaction phases
An interaction can be divided into up to 4 phases.
In the explanation phase, the moderator introduces the current question.
In the following phase of action, the vote then takes place.
Finally, the result phase follows, in which the voting result is displayed.
Optionally, a cluster phase can be switched on. In this then the grouping of contributions takes place.

You can choose whether the voting results will be displayed live or only after activation on the stage. This can prevent participants from being influenced by answers that have already been submitted.

Special Features

Notifications
The director can send personalized messages to selected participants, groups of participants or individual moderators. These are delivered as push notifications (when using the app interactivate.me) or as In-App notification (when using the WebApp).
Moderation Table
Selected questions or contributions from the audience can be sent to the moderator for further use.
QR-Code
Use the device camera to scan QR-Codes that display information or trigger actions.
Combined result representation
If comparable data are collected at different times or historic reference values are available, these can be displayed directly in a comparison view.
Parallel events
teambits:interactive enables the running of parallel workshops and breakout sessions with independent processes.
These can either be selected by the participants themselves or they can be assigned by the organizer.
Personalization
If a list of participants is filed during the preparation, possibilities of personalization arise. For example, personalized agendas and further differentiation of questions about subscriber characteristics can be realized.

Multiple languages
On the devices, all information can be stored in different languages. It is possible for participants to choose their language for their decision.
